The contract for a short term holiday rental shall be made between the Client and Haddon Grove Farm Cottages (HGFC). The contract shall be entered into when HGFC issues the confirmation and will be subject to all of the following conditions
A deposit of 25% of the rental fee is payable if the booking is made more than 2 calendar months prior to the start of the rental period. For group bookings, the deposit shall be 40%. The balance must be paid at least two calendar months prior to the start of the rental period. Non-payment of the balance on or before the due date shall be construed as a cancellation of the contract by the Client. For bookings made less than 2 calendar months prior to the start of the rental period, the rental must be paid in full.
INCLUDED IN RENTAL
Reasonable heating and electricity usage*, bed linen and tea towels. Use of Leisure centre including swimming pool and games room.
NOT INCLUDED IN RENTAL
Towels and swimming towels (available to rent at £5 per person). Pets. Cots and high chairs are available on request at time of booking subject to availability. Cot linen. Extra occupants (see below). Excessive use of heating and electricity will be charged at cost. Details on request*.
Any cancellation made by the Client for whatever reason shall be confirmed in writing and sent to HGFC at 58 Crescent Road, Sheffield S7 1HN or by email to firstname.lastname@example.org. On receipt of notice of cancellation, HGFC will seek to re-let the property for the period of the booking. If HGFC succeeds in re-letting the property at the full price it shall refund all monies paid less an administrative charge of £50 per week booked or part thereof.
If HGFC only succeeds in re-letting the property for part of the period booked or at a discounted price, it shall refund an amount equal to the money paid by the Client less 1) the difference between the full price for the whole period and the re-let price received and 2) an administration charge of £50 per week re-let or part thereof. If HGFC is unable to re-let the property at all, then all monies paid by the Client shall be forfeit to HGFC. (We strongly recommend that you take out your own cancellation insurance)
GOOD HOUSEKEEPING DEPOSIT
A returnable deposit of £30 per cottage shall be paid on arrival. This will be returned after your departure from the property provided all the booking conditions have been met.
PERIOD OF HIRE
Rentals commence, unless otherwise notified, at 4pm on the day of arrival and terminate at 10am on the day of departure. Guests are requested to contact HGFC on 0345 634 4163 at least 1 week prior to their date of arrival in order to make final arrangements for their time of arrival and to make arrangements for key collection
We are happy to accept 1 pet in cottages Peveril, Ash, Monsal and Blue John only. HGFC regrets that it does not accept pets in any of the other properties. Pets must be booked in advance as we are unable to guarantee a suitable cottage on arrival. A charge of £20 will be payable per pet. We reserve the right to seek compensation for any damage and excessive cleaning costs caused by pets and ask that owners take a responsible attitude to ensuring that pets stay off the furniture, bedding etc. Any additional cleaning required will be taken from the good housekeeping deposit.
Please note that we are unable to guarantee that non-pet properties have never had a pet in them and are therefore unable to make any warranties with regard to any allergies or other illnesses caused by exposure to pets in any of our cottages.
Pets are accepted on condition that they must not be left alone in the cottages, they must be on a lead whenever outside the cottage and they must not foul anywhere within the grounds. Suitable walks are available from the front gate of the farm.
NUMBER OF PERSONS USING THE PROPERTY
The number of persons occupying the property must not exceed the maximum number stipulated in the brochure/website/booking form. HGFC reserve the right to refuse entry to the entire party if this condition is not observed. This must be adhered to and any requests for additional persons must be arranged and agreed to by HGFC prior to arrival.
Some of the cottages have additional capacity on a sofa bed or folding bed. There will be an extra charge per person for numbers above the normal sleeping capacity. This will be agreed with HGFC at the time of reservation. Failure to do this may result in your reservation being cancelled. Parties must not exceed the numbers specified above unless by arrangement and the owner reserves the right to ask customers to vacate if this is abused.
All of our properties are non-smoking properties. Please note that smoking is not allowed anywhere within the cottages. We reserve the right to seek compensation (including consequential loss) for any damage and additional costs of cleaning (such as curtains etc) caused by a guest smoking within any of the cottages. Consequential costs may be incurred where it is not possible to remove the smell of smoke from a cottage prior to the arrival of the next quest who subsequently demands compensation from ourselves.
Guests must accept responsibility for their own and their children’s safety. In particular, the swimming pool is unsupervised by HGFC and no one under 16 should use the pool or games room without adult supervision. It is recommended that no one uses the pool unaccompanied. A code-operated lock on the leisure centre door prevents unauthorised access by children.
Parents are also responsible for supervising children using the play area. Children’s safety equipment (cots, high chairs, etc) must be used at own risk
CARE OF THE PROPERTY
The Client shall take all reasonable and proper care of the property and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as at the beginning. You will be liable for the cost of any damages, breakages, losses and any extra cleaning or repair costs which are incurred due to non-compliance with this condition.
RIGHT OF ENTRY
HGFC shall be allowed the right of entry to the property at all reasonable times for the purpose of inspection or to carry out any necessary repairs or maintenance
Should there be any cause for complaint during the occupation of the property, it must be notified promptly to HGFC reception and in the case of a serious problem confirmed in writing.
HGFC, its employees and agents shall not be under any liability to the Clients or third parties for any loss or damage arising from breach of contract, negligence, misrepresentation or otherwise. If the property which the Client has booked becomes unavailable or unusable for some reason prior to the date of booking, then HGFC’s obligation will be to 1) use their best endeavour to find a suitable alternative property, or failing which, 2) to reimburse the Client for any monies paid.
HGFC does not warrant and is not responsible for the accuracy of any verbal information given or statements made by any of its servants or agents.
*Reasonable electricity usage is up to £15 per day in the Farmhouse, £10 per day in 2 and 3 bedroom cottages and £5 per day in 1 bedroom cottages
